Dali Museum Events Manager
The Dali Museum has an immediate opportunity for an Events Manager. Reporting directly to the Deputy Director/Director of Visitor Services, the Events Manager will be responsible for executing and bringing planned events to completion by continuously communicating with all who may be involved in the process.
Responsibilities include, but are not limited to:
Manages and coordinates all activities associated with logistics, third party vendors, reservations and scheduling, and production of events
Manages event budgets for museum-hosted (internal) events only
Manages the events once they have been booked by the Event Sales Manager and a contract has been signed
Is present to personally supervise all events to see them completed unless other pre-approved arrangements are made
Conducts walk-throughs and pre-planning meetings with client and outside vendors
Personally supervise each event from planning and set up to final walkthrough and clean up leaving entire venue ready for next day’s business
Plans, produces, and share detailed time lines and layouts for all events
Plans staffing requirements for events
Responsible for collecting all deposits and final payments, refund security deposits when applicable
Follows through with outside vendors with billing and final payment
Ensures all insurance limits and documentation requirements are met
Maintains a detailed and up to date file on each event including an Event Sheet available for all Dali staff to reference
Provides back up to Event Sales Manager to follow up on calls or show space in their absence
Advises and ensures compliance of all Dali policies by clients and all outside vendors
Coordinates delivery of all event related materials and equipment
Schedules and conduct internal event “pre-con” and “post-con” recap with event staff
Responsible for conducting briefing meetings at appropriate times with Development and Marketing staff on museum hosted events
Qualified candidates will possess a Bachelor’s Degree in Hospitality Management or equivalent, with a minimum of (3) years experience in an event management role, experience in visual arts, cultural, educational or similar setting preferred.
Candidates must be proficient in MS Office. Individuals must have the ability to think and plan creatively and to help guide event planning with the ability to be a team player and facilitate good communication and cooperation among co-workers, vendors, and clients. Strong organizational and communication skills (written/verbal) are imperative as well as the ability to solve problems and handle multiple and simultaneous priorities in a professional and personable manner. Individuals will need to be flexible with their schedule and have the ability to be available for various work schedules, including nights / weekends and / or holidays.
